- Active field
By default, this field appears checked for each new message. You
can uncheck it if you want to except a message from any of Mail
Extractor functions applied to more messages simultaneously (extraction,
autorespondingr, backuping, deleting, MS Word extracting, ...).
If this field is checked, the message is subject to any of ME's
functions applied to more messages simultanously.

Accounts
Select an account. On the right you can see the subjects and dates
of the received messages for that account. The Count column shows
the number of received messages.
|
|
Address
Book
Your customers' e-mail addresses are automatically extracted from
the e-mails and saved in the Address book.
Mail Extractor automatically eliminates duplicates. You can easily
export your Address Book into another program as a text file (.txt).

Autoresponder
There are two types of messages in the Autoresponder:
Payment Received and Order Shipped/Canceled
· Payment Received is
intended to serve as an automated notification system, whose task
is only to notify customers that you have received the payment.
The data contained in the reply are the invoice data (packing slip).
· Order Shipped/Canceled
will confirm the shipment and for those e-mails that have Cancel
box checked, cancellation text will be sent (except for half.com
messages, which will be ignored if checked as "canceled").
Order Shipped/Canceled message will include Shipping method (if
selected from the drop down menu) and Tracking#, (if entered in
the appropriate box).
*Clicking on Payment Received will not send a message to Half.com.
Only by clicking on Order Shipped/Canceled will send a blank e-mail
to Half.com, in effect confirming the order (unless you checked
the message as "canceled")
Settings

Subject prefix allows you to enter any string on the start of
the autoresponder's message subject.
For example,
if the original message subject is: "Oxford
Dictionary of Allusions [Hardcover] by Delahunty, Andrew; Dignan...",
and you have entered for Subject prefix the following
string: "Amazon Order Received:",
then your customer will get this message subject:
"Amazon Order Received:
Oxford
Dictionary of Allusions [Hardcover] by Delahunty, Andrew; Dignan...".
- Message
Header allows
you to address your customers by their names, without need to enter
anything manually.
The default sentence we set is "Dear
<buyer_name>,".
Mail Extractor here also fixes possible incorrect first capitals
of names. You can turn this option off, if you wish.

Backup
All
Press this button to backup all the visible messages in the main
window. This action removes the messages from the main window and
makes them visible only in the Search window.

Clear
Press this button to clear the extracted data.
|
|
Copy
to Clipboard
Press this button to copy the selection of the extracted data to
Clipboard. If you're using Endicia software, you can highlight the
address in the Mail Extractor and by clicking on Copy to Clipboard,
address will be pasted directly in the Endicia software.

Data
area
This is the area where the extracted data will be shown. You can
freely change it as you wish. Be careful not to alter the Dividing
line specified in the Extraction window, or Smart Print won't be
able to detect the page breaks. You can choose any font you like.
The same font will be applied when printing.

Delete
All
Press this button to delete all the messages that currently can
be visible in the Mail Extractor's main window.
|
Don't
download already downloaded messages
Mail Extractor remembers the ID of each downloaded message. If you
check this option, then while downloading, Mail Extractor will skip
any message that has already been downloaded by Mail Extractor.

Download
extra data form Web
With this option you can specify if you want Mail Extractor
to get additional data from Amazon or Half.com 'details' Web pages
(Quantity, ISBN, Seller's Comments,...). This
process can only be implemented while downloading messages.

Extraction
There are two types of extraction: Extract and Invoice. The Extract
is intended to extract general data, which can be customized for
every account. To customize extraction click on Extraction in the
program menu. The Invoice extraction is intended for printing of
invoices (packing slips). Extraction (Extract or Invoice) of a single
message can be performed clicking the right mouse button over the
message subject, and then selecting "Extract" (or "Invoice").
The button labeled "Extract" (or "Inovice")
performs batch extraction of all messages visible in the main window.
The Extract and Invoice button clear the previously extracted data.

Find
Search messages in the main window for a word or phrase. The standard
"Whole Word" and "Match Case" options are also
available.

Get
Messages
Press this button to start downloading messages from the mail server.

Import
DAZzle Postage Log File -

This
feature imports shipping
data from the DAZzle's backuped (exported) Postage Log file, and adds
them to Mail Extractor.
The imported data are:
- Shipping Address
- Shipping Date
- Shipping Method
- Tracking ID
Shipping Method and Tracking ID are automatically added to corresponding
fields in the main window. Mail Extractor detects if these data are
added from the DAZzle's Log file, and if they are, then when using
Autoresponder, a special Tracking ID link will be created within message,
so that your customers can track their package online. Along the link,
there will also be added the rest of the data imported from the DAZzle's

'M'
- My Price field
In
this field you can enter your price for an item you've sold. This
value doesn't get involved into any of ME's calculations, but can
be useful to you, just as a Note field can be.

MS
Word Extraction
You can extract data directly to MS Word, without extracting it
in the Mail Extractor's window. Select the options you want and
press the PRINT button (inside the frame). You can choose whether
you want MS Word to show itself or not, whether it should actually
print data or just show it, and finally whether records should be
extracted each on a separate page.
You also have a special advantage of using MS Word Templates. This
is a way to print your extraction through MS Word at the most customized

- My Notes field
If you add a note to a message, a red exclamation sign will appear
in this field. Notes can be added in the Backup window of Mail Extractor.

Order
field
In this field you can specify whether you ship or cancel an order.
If you cancel the order then Autoresponder will send the "Order
Cancelled Text" message (except for half.com messages) instead
of "Order Shipped Text". Both texts can be edited in the
Autoresponder's window. To open the Autoresponder window, go to
Tools/Autoresponder Options.

Press
this button to print the extracted data. Smart Break will detect
page breaks automatically, so your data doesn't get truncated.
In the Program's menu click on Print..., then select Page Setup.
Adjust left indent, and click on Printer for further customization.

Makes a copy of all Mail Extractor data (your preferences, email

folder. Mail Extractor automatically does this every time it is
being closed, but Save Data allows you also to do it by yourself,
to be sure that your data is backuped, in case some power failure
occurs, or something that could potentialy endanger Mail Extractor's
data.

Search
Search all messages in Mail Extractor for a word or phrase. The
standard "Whole Word" and "Match Case" options
are also available. The search can be limited to the messages dating
from last 30, 60 90, 180 days.

Shipping/Tracking#
Enter a value into these fields. The value you enter will be sent
with the Order Shipped Autoresponse message.

Test
Autoresponder
Clicking on Test from the Autoresponder's menu will send all messages
to your own mail box.

Troubleshooting
Most errors associated with message download could be corrected
by repeating the download.
