Introduction
Mail
Extractor in essence works just like your favorite mail client
(Outlook Express, Netscape, CompuServe-mail…).
Unlike your mail client, it downloads ONLY e-mail messages
whose SUBJECT line starts with:
• Sold-ship
now! (Amazon Marketplace)
•
Please Ship Now! (Amazon zShop/Auction)
• YOU'VE
MADE A SALE (Half.com)
• ITEM
SOLD - confirm and ship (Half.com Power Sellers)
You can still read these e-mail messages with your default mail
client (Outlook Express, Netscape, CompuServe-mail…), unless you
choose the option:
"Delete messages from the server after downloading"
(see: Configure Mail Extractor).
In that case e-mails will be deleted from the mail server after
the download.

Data
Extraction
Data Extraction is a feature built in the Mail Extractor.
With a click on the Extract button Mail Extractor extracts pre-selected
data from downloaded e-mail messages and Amazon's Detailed page.
Extracted data is shown in the lower main window.
There're two buttons for the extraction:
• Extract
(Title, Address, ISBN... etc.) and
• Invoice
(Packing slip)
Prior to extraction you should make a selection of the parameters for
the data that you want to extract.
You can select two sets of data, and switch between them by checking Alternate
Set check box. This feature is useful if you want to print two pages,
let's say one with all information about the items and one with Shipping
Addresses only.
You can select
what information to be extracted by clicking on the Tools -> Extraction
Options in the program's menu.
For setting the alternate set of data, check Alternate Set box
before making a selection.
In the same window you can set different extraction parameters for each
account (Marketplace, Zshop/Auction and Half.com). The extraction parameters
are sortable.
Exporting
Data
This feature makes possible extraction of data to a .csv or .db file.
Data is exported in that way that it makes easier for you to make some
calculations you might want (in Excel, Access, etc). This way you get
a tabular review of your sellings, and you can later use it as you like.
Since each account (Marketplace, zShop, Half.com) has its own parameters,
the exporting is also specific for every one of these accounts.

Exporting
Addresses -
for DAZzle and Shipping Assistant users
If you are using DAZzle to print postage, you'll love the Export Addresses
feature. Your customers' addresses and e-mails can be exported into a
file. You can import such a file into DAZzle or Shipping Assistant, and
use those addresses, without having to Copy&Paste them as you might
have been doing previously.

Extracting
and printing through MS Word
This feature makes it possible to extract data directly to MS Word. Of
course, in order for this to work, you need to install MS Word onto your
computer, unless you have already done so. Version 97 or older are not
supprted. The whole process of extracting is similar to that when you
press the Extract button. However, data is not extracted into Mail Extractor's
window, but to a new MS Word document. We also provided a sample Template
document, so that you can use it as a base for your templates, with different
margins, fonts, styles etc.

Printing
In the lower main window, you can edit extracted data if necessary
(copy and paste enabled) and Voila - it's ready to be printed.
Smart print will automatically adjust page breaks so your data
doesn't get truncated (half address on one page, another half on the next
page).
One record per page option enables printing of each e-smail's extraction
on a separate page (first e-mail - first page, second e-mail - second
page, etc).
Autoresponder
Gives you the ability to e-mail your customers from within
Mail Extractor.
There're three types of messages that Autoresponder can send out:
• Payment
Received
• Order Shipped/Canceled
• Feedback
Payment received serves as a notification of a received payment
(note that e-mail will not be sent in response to Half.com messages).
Order Shipped/Canceled, confirms/cancels the shipment of the order
for all accounts (messages sent to Half.com are blank-confirmation e-mails).
Cancellation message is sent only if the ORDER field in the main window
is set to CANCEL (Half.com orders need to
be cancelled manually). Otherwise, Order Shipped message will be sent
out (ORDER field is set to SHIP by default).
Send
Feedback messages to remind your customers to leave a feedback.
In the Autoresponder's menu click on Settings... to customize outgoing
messages.
Click on Test Mode if you want to send messages to your email address,
instead of to your customers. This is for testing purposes. You can download
such messages with your standard e-mail client.
A regular autoresponding procedure would be: send messages to autoresponder,
select message type, generate messages, send messages.
Shipping Method and Tracking#
Enter Tracking# in the field, and select Shipping
Method from the drop down menu, or enter any other method you use.
Endicia DAZzle users can automatically insert these values clicking
on Import DAZzle Log. For more info click here.
Tracking# and Shipping Method values will automatically be inserted in
the Order Shipped, Autoresponder's e-mail message.
Shipping Method and Tracking# are saved with e-mail for later search.
Search
Performs search within Mail Extractor by any word, for all
saved e-mails, in a specified period of time.
Sorting
Messages can be sort in any of the following orders:
1. By date - ascending
2. By date
- descending
3. By numerical
SKU (if you use exclusively numerical SKUs, messages are sorted in numerical
order)
4. By alphanumerical
SKU (messages
are sorted in alphanumerical order)
Address Book
Your customers' e-mail addresses are automatically extracted
from e-mails and saved in the Address Book.
Mail Extractor automatically eliminates duplicates. You can easily export
your Address Book into another program as a text file.
Don't download already downloaded messages
Mail Extractor remembers the ID of each downloaded message.
If you check this option, then while downloading, Mail Extractor will
skip any message that has already been downloaded by Mail Extractor.
Download extra data from Web
With
this option you can specify if you want Mail Extractor to get additional
data from Amazon or Half.com 'details' Web pages (Quantity,
ISBN, Seller's Comments,...) This process can only be implemented
while downloading messages, not as a separate process.
'N'
- My Notes field
If
you add a note to a message, a red exclamation sign will appear in this
field. Notes can be added in the Backup window of Mail Extractor.
'A'
- Active field
By
default, this field appears checked for each new message. You can uncheck
it if you want to except a message from any of Mail Extractor functions
(extraction, autoresponder, backuping, deleting, MS Word extracting, ...).
'MP'
- My Price field
In
this field you can enter your price for an item you've sold. This value
doesn't get involved into any of ME's calculations, but can be useful
to you, just as a Note field can be.
