Extract
and Print through MS Word
This
feature makes it possible to extract data directly to MS Word. Of
course, in order for this to work, you need to install MS Word onto
your computer, unless you have already done so.
The
whole process is similar to that when you press the Extract button
in Mail Extractor. However, data is not extracted into Mail Extractor,
but to a new MS Word document.
You
can choose if you want to print the extracted data automatically,
with no further interaction by your side. You can also choose if
you want MS Word to show itself, so that you could edit the extracted
data before printing or saving. And finally, the most interesting
feature, you can choose if you want each record to be extracted
on a new page within the same document. No matter what option you
choose, no record will ever be splitted into two pages.
You
also have a special advantage of using MS Word Templates. This is
a way to print your extraction through MS Word the most customized
way. Templates are special MS Word documents that remembers whatever
you save with them, so you can always create your new documents
based on templates, and that way avoid repeating customization.
For instance, if you frequently need to print copies of same contents
on different paper formats, then templates is the solution.
To create a template, open MS Word and go to File/New, then
choose Template in the right bottom corner and click OK.
You can now format your new template as you wish and setup the paper
format you plan to use with it. For instance, you might want to
add a nice frame border around the page. Or if you want to change
the default font for that template's documents, then go to Format/Font
to choose a font, and then press Default in the left-bottom corner
to make the change permanent. You do that the same way you would
in a MS Word document. Feel free to do anything with templates.
After you finish formating your template, it's time to save it.
Go to File/Save As and save it in a folder. Then press OK,
and your template is saved. Note that template files have a different
extension than MS Word document files. Templates end with ".dot",
not with ".doc". Create another template the same way,
but make some different contents within it.
We
included a sample template with Mail Extractor. You can use it as
your starting point for further editing. To use this template with
Mail Extractor, click on "Browse" in the MS Word Extraction
section of Mail Extractor (the left bottom corner in the main window).
In the opened dialog, click on SampleTemplate, and then click
Open. The dialog will close, and the Use Template
check box will be automatically checked. From now one, when you
click on PRINT, any data you extract from Mail Extractor into MS
Word will be formatted the way the selected template has been formatted.
This is true until you select some other template, or until you
uncheck the Use Template check box.
To modify the SampleTemplate, click on "Browse" in the MS
Word Extraction section of the Mail Extractor, then in the Dialog
Box right click on the "Sample Template" and select Open from the
pop-up menu. Edit the template (change the font, paper size...).
For Margin and Paper size changes click on File, then Page Setup
in MS Word. For Font and other changes click on Format from the
MS Word. After you're done with editing make sure you click on Default
from the Page Setup dialog box. Save the Template.
